Device Protection Plan
WHAT IS THE DEVICE PROTECTION PLAN?
As a complement to Beekmantown CSD’s 1:1 Digital Literacy initiative, parents of children in Grades 3 - 12 who have a Chromebook issued to them have the option of enrolling each year in a Device Protection Plan (DPP). This Device Protection Plan is available through and managed by the district’s student-run help desk club.
Enrollment in the DPP will minimize potential repair and/or replacement costs that could result from accidental damage to the device assigned to your child. Although parents are not required to purchase a DPP, they are strongly encouraged to consider it as the DPP will protect a student's device against accidental damage and theft. Coverage under the DPP begins when payment is received by the club and covers the student's device for the duration of one school year ending June 30th.
HOW MUCH DOES THE DEVICE PROTECTION PLAN COST?
- Device Protection Plans are purchased annually for EACH INDIVIDUAL student at a cost of $15 if purchased from May 1st through August 31st.
- Device Protection Plans purchased AFTER September 1st carry a cost of $20 per student per year.
- There is a family discount which caps the cost of Device Protection Plans for three or more students residing in the same household at $40 per year if purchased from May 1st through August 31st.
- Device Protection Family Plans purchased AFTER September 1st carry a cost of $50 per household per year.
WHAT IS COVERED UNDER THE DEVICE PROTECTION PLAN?
- Two (2) repairs of non-intentional, non-negligent damage per year ending June 30th. This includes cracked screens, top and bottom plastic housings, defective keyboard (NOT including Intentional damage to keyboards, such as key(s) missing from the keyboard as these do not fall off their own), touch pads, wireless network cards, motherboard issues, and other hardware issues such as video cables & broken ports.
- Any subsequent repairs of non-intentional, non-negligent damage occurring during the enrollment period will result in a fee based on the following sliding scale:

- 3rd repair - $10 deductible must be paid before the device is returned.
- 4th and all subsequent repairs - full cost of parts must be paid before the device is returned.

- Total loss of device. Total loss of device means complete or partial destruction of the device due to fire, flood or other acts of god.
- A device which is stolen (Please see section regarding theft below)
- Any other items which are deemed warranty repairs (battery, WiFi card, back lighting, etc.)
WHAT IS NOT COVERED UNDER THE DEVICE PROTECTION PLAN(s)?
- Any damage sustained during any previous years. It is the responsibility of the student & family to report damages as soon as they occur so that they can be addressed.
- Intentional damage, negligence or damage caused by misuse of the device. Such actions will require payment for parts or replacement at full price before the device is returned to the student
- Damage cause by ANOTHER student. If a Chromebook is damaged by another student, it is the responsibility of the student with the damaged Chromebook to report it immediately to their building Principal or Associate Principal for investigation, billing and possible discipline of the responsible party.
- Damage to a device which occurs while the device has been removed from its protective case.
- Damaged headphone and/or USB port(s), such as a snapped or broken headphone adapter or USB dongle that render the port useless.
- Intentional damage to keyboards, including key(s) missing from the keyboard as these do not fall off their own.
- Damaged, stolen or lost power adapter/cords. Replacement power adapters can be purchased directly from the Student-Run Help Desk Online Store.
- The Device Protection Plan does not cover a device that has been lost or misplaced. In these cases the student and/or their family is responsible for the full replacement cost of the items issued to them.
- Repair or replacement of the protective case. Please note that students at Beekmantown CSD are issued Chromebooks and cases every three to four years depending on the student's grade level. Care should be exercised when the device is issued to the students to treat these items well. The protective cases are well-made and meant to last during that time, but are not indestructible. Suspected defects of cases should be reported immediately so that we can work with the vendor to have it replaced.
- Please note that the final determination of whether damage is deemed intentional, negligent or the result of misuse will be determined by the Student Run Help Desk, a District Administrator and/or the Educational Technology Department.
WHAT IF MY CHILD'S DEVICE IS STOLEN?
If the device is stolen on school property, including buses, the incident must be reported by the student to the School Resource Officer within 48 hours. The student must obtain a copy of the police report and then supply the Educational Technology Department with this report. Once this is done a replacement device can be issued.
If the device is stolen outside of school, the parent/guardian must file a police report within one (1) week of the device being stolen. A copy of the police report must be turned in to the Educational Technology Department. Once this police report is received, a replacement Chromebook can be issued.
If a student does not have a Device Protection Plan and the device is stolen, the parent/guardian will be invoiced for the full replacement cost of the items issued to the student.
WHAT IS THE PROCESS FOR REPAIR OR REPLACEMENT
FOR A DAMAGED DEVICE?
The damaged device must be brought to the Student Run Help Desk, or the Educational Technology Department so that a trouble ticket can be created in the ticketing system. The student will need to provide as detailed explanation as possible of what the issue(s) is/are. If the damage is claimed to be accidental the student must provide an explanation that lead to the damage. Once a ticket has been created every effort will be made to repair or replace the device within as soon as possible based on availability of replacement parts and technician workload. If there is an invoice associated with the repair, assigned devices will NOT be returned to the student until the invoice is paid.
CANCELLATION OR DENIAL OF COVERAGE
Verified reports of intentional damage, negligent use (Throwing, Kicking, Punching), or use of the device outside of the district-provided case, may result in cancellation of the Device Protection Plan. If cancellation of the Device Protection Plan occurs, no refund will be issued. Students who intentionally misuse and/or damage their devices may not be eligible to obtain the Device Protection Plan in subsequent years from the BCSD Student Help Desk Club and will have to pay the full cost of parts and repairs. The Beekmantown CSD Student Help Desk Club and advisor(s) reserve the right to deny a device protection plan.
WHAT IF I CHOOSE NOT TO ENROLL IN THE DEVICE PROTECTION PLAN?
Parents who DECLINE the purchase of a Device Protection Plan are still responsible for 100% of all repair costs to be billed by the Beekmantown CSD Student Run Help Desk or replacement costs for the device if it becomes lost or damaged which will be billed by the district. This is consistent with New York State Education Law Section 701. If there are any fees associated with the repair, assigned devices will be returned to the student once these fees have been paid.
The following prices are current costs for common repairs and are subject to change without noticed based on part availability and market fluctuation.

Please note that enrollment in the Device Protection Plan is non-refundable for any reason, even if the child unenrolls from the district. Enrollment in the Device Protection Plan must be completed by September 30th unless a student registers after the school year has begun.
